The Chinese Flagship Program at University of Washington, Seattle, seeks to fill a full-time program administrator position to begin as soon as possible or by 9/16/2023 at the latest. University of Washington (UW)'s Chinese Flagship program provides undergraduate students the opportunity to attain professional level language proficiency through classroom learning, extracurricular activities, and overseas study, including an entire year in China.
This position is grant funded and is projected to be funded through May 31, 2024, with possibilities of renewal.
RESPONSIBILITIES:
Perform professional level program administration and management (30%)
- Carry out administrative duties, including, managing, maintaining, and monitoring the budget and providing financial reports as requested by the director or other decision makers.
- Facilitate program articulation with administrative structures. Serve as the main liaison between the program and the University's Study Abroad and Student Aid offices. Serve as the primary liaison with the Humanities Academic Services Center (HASC) and advising offices in other academic units. Maintain relationships with relevant advising groups on campus.
- Produce annual reports and regular status updates on the program as required by the funder. Gather and analyze data as needed for reporting and program assessment and refinement.
- Plan and run incoming and current student orientation programs, events, and meetings. Coordinate with campus partners and local educational agencies (such as high schools) for outreach, special events, and student services.
- Represent the program at student orientations and other events as appropriate. Design, develop, and maintain applicant and student databases.
- Attend annual national meeting for Language Flagship programs; visit Flagship study abroad programs abroad and/or overseas Capstone program(s) if necessary.
- Serve as the main liaison for the program to anticipate and resolve problems.
- Provide advising to incoming and current students in course selection, planning, and financial aid.
- Coordinate annual spring review of current students by faculty; coordinate and deliver formal language proficiency assessment of current students at year-end and pre- and post-summer programs; work with program directors and faculty to recommend action for students who are having academic difficulties.
- Participate in outreach, recruiting, or other events for current and prospective students.
- Assist in developing communication materials, including handouts, student guides, website updates and articles. develop and maintain the program's web pages and other systems for disseminating funding opportunities to current and incoming students.
- Serve as primary liaison and advisor for student groups (graduate student organizations, undergraduate advisory councils, etc.).
- Liaison and coordinate with other academic programs, such as Study Abroad, alumni programs, career services, etc.
- Ensure that the program conforms to institutional and department policies and regulations by performing regular internal reviews.
- Advertise the tutor positions to inform interested applicants regarding tutoring opportunities and application requirements.
- Update job announcements and application process as needed, including updating the program website, application forms, and online submission processes.
- Work with the program directors and faculty members to facilitate decisions on tutor hiring.
- Monitor tutor staffing, making arrangements for replacement or additional tutors when necessary throughout the year.
- Organize tutor orientation each year together with the program director.
- Perform other duties as assigned.
- Supervise tutors, approve time sheets in Workday.
- Bachelor's degree, preferably in Business Administration, Public Administration, Arts and Sciences or any related field; native/near-native proficiency in both English and Chinese.
- At least one year of work experience in program administration in higher education.
- Candidates must be team players willing to collaborate and able to communicate well with diverse audiences.
- Advanced proficiency with Microsoft Word and Excel.
- Proficiency with cloud-based tools (Google docs, Microsoft OneDrive, etc.), and with electronic calendaring systems.
- Ability to exercise independent judgment and be creative in problem solving.
- Flexible, pro-active, and able to represent the Program professionally and effectively to UW campus partners and beyond.
- Experience in managing budgets.
- Ability to organize and prioritize tasks and think critically and problem-solve independently utilizing strong time management and organizational skills. Ability to adapt quickly to changes in work requirements and assignments.
- Excellent oral and written communications skills.
- Competency in Microsoft Office applications, including Word and Excel.
